Scheduling on-site or third-party assessments

Users who want to learn to schedule on‑site or third‑party assessments.
No elevated permissions are required.
This guide explains how to use the Assessment Scheduler to create, manage, and track scheduled assessments.
1. Creating an assessment schedule
- Go to the Solutions area from the global navigation and select Assessments from the left navigation or the options on the page.
- From the Assessments area, select Assessment Scheduler from the top navigation.
- On the Assessment Scheduler page, click Add New using the button on the right.
2. Selecting assessment details
- Choose the assessment from the list of available templates and select the site to be assessed.
- Add message details and suggest a date range for the assessment to be carried out so the recipient can respond accordingly.
3. Supplier response
- Once the request is created, the supplier will receive an email and a notification on their homepage asking them to respond.
- The supplier can confirm they are happy with the suggested date range or select No to suggest new dates.
4. Options after supplier response
- Once the supplier has responded, you can:
- Request a proposal from a third party.
- Raise the assessment directly with the supplier.
- Close the request.
5. Requesting a third‑party proposal
- If you request a proposal from a third‑party company, search and select the company and add a message detailing your request.
- The company will receive an email and notification on their homepage to respond.
- The company can view all previous details for the scheduler request and provide a response along with a document outlining their proposal.
6. Reviewing third‑party proposals
- When the third‑party company responds with a proposal, you can accept the proposal or request changes.
- If approved, the third party will be notified to schedule the assessment. If changes are requested, they can amend and resubmit.
- If a proposal is approved and the third party does not have access to the required assessment template, you will be alerted that they will be given access once the proposal is approved.
7. Raising the assessment
- After proposal approval, the third party can add the assessment details to raise the assessment.
- The due date will be set based on the dates agreed with the site and must be within the agreed date range.
- The assessment will automatically be shared with the company that created the original schedule request.
8. Assessment status
- Once an assessment is raised, the schedule will disappear from the main list with the status Assessment Scheduled.
- This moves into the Closed grouping, which can be accessed by selecting the status from the dropdown filter.
- By default, only Open schedules are shown on the Assessment Scheduler page.
9. Tracking progress
- The progress of the associated assessment can be viewed via the link when viewing the schedule request.
- The assessment will also be listed on the Sent Assessments page if you have raised the assessment or it has been shared with you.
