This guide explains how to review supplier document responses and manage document roles for your organisation.
1. Reviewing document responses
- Once you have created a project, you can view the progress and responses from your suppliers.
- When a supplier responds to your project, you will see this via the progress on the individual request.
- Suppliers can create a query if they are unsure of the required task or want to ask something about the document. This will appear in their response.
- You can respond back to the supplier’s query to maintain transparency and communication. Add a response and send it back to the supplier.
- You can also query a provided document if the supplier has added an incorrect file. Raise a query in response to their submission.
- If you are satisfied with the provided documents and read receipts, open the individual response and select Approve project. This allows you to track supplier responses you have approved and checked.
2. Document roles
Not all users in your organisation may need access to the document management module. Document roles allow you to control access.
- Document admin: Full access to the document management module.
- Document reader: View-only access to existing documents and folders.
Any user with company admin rights can set document permissions for other users. To set this up:
- Go to the user profile under Settings Users in the main menu.
- Amend the document role as required.
