Setting up a specification with section user approval
Who is this article for?
Administrators who want to learn to set up a specification with section user approval.
Administrator permissions are required.
This feature allows you to configure your specification templates so they can be approved by designated users, streamlining your workflow when receiving submissions from suppliers and ensuring the right people within your company review and approve or reject the information efficiently.
1. Configuring multi-approval settings
If you want to ensure that all assignees of a section need to approve it before the specification owner can approve, enable the multi-approval option when creating the specification.
To enable multi-approval, follow these steps:
- Tick the option highlighted in the image below when creating your specification.

Note: This can be changed at any point during the lifetime of the specification project.
2. Completing the specification template
Once you have created your specification and go to publish it, you will be presented with options to assign section approvers.
To assign section approvers, follow these steps:
- Publish your specification.
- Click Section Approvers to pick your users.

3. Selecting assignees
When selecting your assignees, you have the option to pick multiple users or just one.

Note: If you have enabled multi-approval in the first step, all assignees will need to approve that section before the overall specification can be approved.
To complete the setup, follow these steps:
- Select your assignees.
- Click Finish.
4. Accepting or rejecting sections
Once the specification is returned to you, depending on the user, they will receive a notification to review the specification.

A review progress bar at the top shows how many sections need approval.

To review and approve or reject a section, follow these steps:
- Navigate to your section.
- Review the information entered by the supplier.
- Choose to accept or reject the section.

Note: All sections will need to be approved before the specification can be approved by the owner.
